CCF recognises the importance of privacy protection. This policy explains how we handle personal information relating to individuals.
CCF must by law maintain a register of all Members and their details as part of its registration with the Australian Industrial Relations Commission. CCF will ensure that the privacy of any information held by it, whether of personal or commercial-in-confidence in nature, is protected as gazetted in the statutes of all relevant Federal, State and Territorial governments and jurisdictions.
Policy Statement
Protecting the privacy and confidentiality of any personal information about staff, Members, Member’s businesses and employees and any other entity with which CCF deals is of paramount importance to the way in which CCF conducts its business. CCF guarantees that no commercial-in-confidence, private or personal information will be released to a third party, without the express permission of the individual or entity to which the information relates.
CCF will ensure the integrity of all systems and procedures used to collect and store information. CCF will ensure that the collection, storage, use or disclosure of any personal information about its own staff, members, their staff or associated entities follows strict protocols to protect privacy.
Definitions
Personal Information
Personal information collected may include all contact details such as official and preferred names, titles, private and business address details, telephone, facsimile and email contact details – business and private, qualifications, work experience and skills, employee information, business and personal operational details and other areas of interest. CCF may also hold assessment records of members and members’ employees across a wide range of workplace and management training.
Collection
Personal information may be collected directly from Members when Members fill in forms of various types; either membership applications, registration for training and other educational courses, member surveys, information regarding industrial or commercial disputes, through correspondence, from websites or by personal contact. Commercial-in-confidence information may be collected as a result of staff or Members associating with outside entities as Members of Boards Councils, committees or through other day-to day business activities.
Storage
Personal information may be stored in-house as hard copy or as electronic data in CCF administered servers. Storage integrity is maintained via physical security over all hardcopy records and via the use of administered access to electronic data including password protection, updated firewalls and security software on all servers restricting access to authorised CCF staff only. Where external storage of electronic data occurs as part of a backup or provider plan, all security systems required for restricted access and storage of electronic data and the protection of information is guaranteed under contracts agreed between the provider and CCF to ensure privacy.
Disclosure
CCF treats all personal information held about Members and Members’ employees with total confidentiality. This applies except where disclosure of personal information is compelled by law or with the written consent of the individual or entity to which the information relates. Members give consent for the provision of certain personal information to allow the delivery of services and opportunities upon joining. For example, member mailing lists are disclosed to CCF’s official journal, the Earthmover & Civil Contractor and to other third parties such as conference organisers, CCF training providers, clients seeking contractors, sub contractors and suppliers, prospective employees and other third parties with whom CCF consider members may have a legitimate commercial interest.
In these circumstances, CCF prohibits (and will communicate that prohibition to) third parties using the information provided for anything other than the express purpose for which it was supplied.
Complaints Procedure
If Members have any concerns about the privacy of their personal information, they should write to their State Branch. Where there are unresolved complaints or complaints not resolved to their satisfaction, they are encouraged to forward a written complaint:
