CCF is aware of the new Privacy legislative requirements and is very conscious of the privacy concerns of its members and the people with whom it deals, as it has been in the past and will continue to be in the future.
Protecting the privacy and confidentiality of its members and members’ staff is of paramount importance to the way in which we conduct the business of CCF.
CCF is, by its very nature, an organisation that is very personal information intensive. As an industry organisation delivering a wide range of member services, it relies on comprehensive and accurate personal information about its members, their businesses and other people with whom we deal.
We have a number of systems and procedures in place to protect privacy whenever we collect, store, use or disclose any personal information of members and/or their staff.
Collection of Personal Information
Most personal information is collected directly from members. We collect personal information when members fill in an application form of various types, registration for training and other educational courses, member surveys, information regarding industrial or commercial disputes, through correspondence, from our website or by personal contact.
The type of personal information collected includes all contact details such as official and preferred names, titles, private and business address details, telephone, facsimile and email contact details – both business and private, qualifications, work experience and skills, employee information, business and personal operational details and other areas of interest.
We hold assessment records of members and members’ employees across a wide range of workplace and management training. There can be occasions when personal information about a member or members’ employees is required from a third party such as when a complaint is made, or some honour or award may be bestowed. There can also be occasions when we are required to divulge personal information to various authorities such as the Industrial Registry or a Royal Commission.
Use of Personal Information
CCF collects personal information to allow it to provide a better range of services, training and products to all its members. We may use personal information for purposes that are related or ancillary to the main reason such information is collected such as regulatory reporting and compliance, internal accounting and administration and as a means of identifying and informing members on various services being offered.
Disclosure of Personal Information
CCF treats all personal information held about members and members’ employees most confidentially. This applies except where disclosure of personal information is compelled by law, is in the public interest and disclosure is justified or with your consent.
Members mailing details are disclosed to CCF’s official journal, the Earthmover & Civil Contractor, Branch newsletters, associate member sponsors with whom members trade and conduct business and CCF’s two preferred insurance brokers, OAMPS Insurance and Miller & Associates.
Disclosure to Third Parties
During the course of providing services to members, personal details may be provided to mailing houses, CCF conference organisers, CCF training providers, clients seeking contractors, sub contractors and suppliers, prospective employees and other third parties with whom we consider members may have a legitimate commercial interest.
In these circumstances we prohibit the third parties from using the information provided for anything other than the express purpose for which it was supplied.
Members give consent for the provision of certain personal information to allow the delivery of services and opportunities upon joining.
We maintain public registration lists of members and members’ employees such as the National Prequalified Contractor registration, employees training assessment details and personal information on CCF Online in those circumstances where a member requests.
Maintenance of Personal Information
It is important that the personal information collected by CCF is accurately maintained to enable the best possible service to be provided to members. If members’ personal information is not accurate, we encourage members to rectify that situation.
Personal Information Access
Members or members’ employees may access personal information through CCF’s Branch offices, National Office or CCF’s website. Requests to provide information will be dealt with in a timely manner.
Personal Information Security
CCF protects any personal information about members and members’ employees from misuse or loss. Only those staff who require members information to provide member services or to process information are permitted access.
Personal information is stored in hard copy documents, as electronic data or in CCF software or systems. We constantly maintain physical security over all hardcopy records and use the latest security systems for access and security of electronic data.
Resolving Members’ Concerns
If members have any concerns about the privacy of personal information being compromised, they are entitled to complain and should such complaint not be resolved to their satisfaction, they are encouraged to forward a written complaint to the
